How Much Would CRM Module Development Cost 10 Years Ago vs. Now

Discover how CRM module development costs have changed over a decade and why AI radically reduces them. My experience and a look into the future.

Ten years ago, developing even the simplest custom CRM module for a small business was a significant investment, accessible to very few. Today, thanks to technological advancements and artificial intelligence, the situation has changed dramatically. I, Vladimir Vyborny, creator of formspace.design, have personally journeyed from assigning tasks to programmers in the 90s to independent development with AI, and I can confidently say: costs and timelines have been reduced many times over.

My Experience: The Pain of No CRM at 'Dom i Sad'

When I managed the company 'Dom i Sad' (Home and Garden), we specialized in designing and building cottages and landscaping plots. Volumes grew, but there was no unified client accounting system. We worked with spreadsheets, notebooks, and sometimes simple databases, each maintained differently. This led to information loss, duplicate contacts, and most importantly — missed sales. I discussed this in detail in the article How much money I lost due to the lack of a proper CRM at 'Dom i Sad'.

In those years, if I had wanted to commission a module for tracking project stages, client communication history, and automating mailings, I would have been quoted tens of thousands of dollars. By my estimates, a simple system for 5-10 users, allowing for recording work stages and payments, could have cost $10,000–$30,000 and required 3-6 months of development. This was a significant amount for small and medium-sized businesses, often prohibitive, especially when simultaneously needing to invest in production and personnel. And I'm not even talking about support and refinements – that would have been a separate budget.

Evolution of Development: From Custom to Platforms

Software development has always been expensive due to the high qualifications of specialists, the complexity of coding, and the necessity of testing. 10-15 years ago, the market was geared towards large enterprise solutions or full custom development, where every brick of code was written from scratch. It was a world where every unique feature came with a separate price tag.

Gradually, SaaS (Software as a Service) solutions and low-code/no-code platforms emerged. They significantly simplified the process by offering ready-made blocks and integrations. But even then, creating a specific module that perfectly matched business processes, such as landscape design, still required certain programming skills or the involvement of expensive integrators. For example, setting up a complex sales funnel with unique stages for each project type (from sketch to implementation and subsequent maintenance) on an off-the-shelf platform without custom modifications was practically impossible.

The Role of AI in Reducing Development Costs

Today, the situation has changed thanks to artificial intelligence. At 61, I myself learned coding with the help of AI to create formspace.design. This became possible because AI takes on routine and complex tasks that previously required hours of work from highly paid programmers. Here are some key aspects:

  • Code Generation: AI assistants can generate code snippets, entire functions, or even modules based on text descriptions. This reduces the time spent writing from scratch by up to 80%. For example, creating a module to record client data and link it to a project, which previously would have taken 40-60 hours, can now be implemented in 5-10 hours with AI.
  • Debugging and Testing: AI helps find errors in code and suggests ways to fix them. This speeds up the debugging process, which traditionally accounts for up to 30% of total development time.
  • Architecture Design: AI can propose an optimal architecture for a new module, based on best practices and requirements. This minimizes the risks of errors in early stages and subsequent rework.
  • Documentation: Automatic generation of technical documentation saves significant time and ensures consistency. Previously, this was one of the most labor-intensive and often neglected stages.

Thanks to these capabilities, the development of a CRM module, similar in functionality to what would have cost $10,000–$30,000 ten years ago, can today be implemented for $2,000–$5,000, and sometimes even less if low-code platforms with AI assistants are used. Timelines are reduced to a few weeks.

Common Mistakes and How to Avoid Them

My experience shows that even with AI, mistakes can be made that lead to cost and time overruns. Here are some of them:

  1. Lack of a Clear Technical Specification (TS). The most common mistake. Without a detailed description of functions, logic, and user scenarios, AI will generate code that will constantly need to be reworked. Even if AI is very smart, it doesn't read minds. I almost made a similar mistake in formspace.design by relying solely on AI without clear planning, which I wrote about in the article The mistake I almost made in CRM by relying solely on AI.
  2. Over-complication. The desire for 'everything at once' leads to feature bloat. Start with the minimum, with basic needs, and gradually refine. It's better to have a simple but working module than a complex but unfinished one.
  3. Ignoring UX/UI. Even the most functional module will be useless if it's difficult to use. Think through the interface from the beginning, and test it with real users.
  4. Lack of Testing. AI generates code, but it doesn't guarantee its flawlessness. Thorough testing of all usage scenarios is crucial to avoid malfunctions and data loss.

How to Plan in formspace.design

While formspace.design is not a full-fledged CRM system in the classical sense, it effectively manages key stages of a landscape project that are typically controlled by CRM modules in other fields. My goal is to provide designers with a tool that addresses their specific needs without forcing them to overpay for excessive functionality.

In formspace.design, you can use module 1.x 'Plan/Zones/Objects' to structure information about each project. For example, for each client, you can create a separate site plan, divide it into zones (entrance group, recreation area, garden), and add objects (trees, shrubs, paths, decorative elements). This not only allows for project visualization but also enables attaching tasks, completion statuses, and even client approval comments to each element. Thus, all information about work progress, changes, and client preferences is concentrated in one place, significantly simplifying communication and control, which are typically handled by a CRM. You can track the approval stage, for example, for path layout or plant selection, and record client feedback directly in the object or zone card. Module 2.1 'AI Concept' allows for quickly generating alternative design options, which is also part of client interaction and requires considering their preferences. And module 3.1 'Design by Photo' helps quickly get feedback on visualizations, which is also important for client service. This doesn't replace an entire CRM but significantly reduces the need for its most expensive module — the project management one.

FAQ

Can I completely forgo a CRM by using only formspace.design?

formspace.design is designed as a specialized tool for landscape design and planning; it is ideal for managing the project aspect and client interaction regarding design. For full-fledged management of sales, marketing, accounting, and other general business processes, an additional CRM system or a set of other tools will likely be required. However, for the design phase and related communication, formspace.design significantly reduces the need for a complex and expensive CRM.

What main CRM module functions can be replaced by formspace.design?

formspace.design can replace functions related to landscape design project management: tracking design stages, recording client changes and wishes, maintaining a database of objects on the site, and managing tasks for individual plan elements. This allows for effective management of the project's design aspect, reducing reliance on universal CRM systems that are often overloaded with unnecessary functionality for designers.

How reliable is AI in generating code for CRM modules?

AI is a powerful assistant, but not a panacea. It significantly speeds up the process of code generation and error detection, but the ultimate responsibility for the quality and functionality of the module lies with the developer. Human oversight, testing, and refinement are always required. My experience shows that AI provides a quality draft that needs to be reviewed and improved.

What is the approximate time saving when developing with AI?

Time savings can be colossal. Depending on the complexity of the task, AI can reduce development time from 50% to 90%. For example, creating a basic data entry interface, which previously would have taken a day, can be done in an hour with AI. This allows for faster iterative launches of new features, constantly improving the product.

Should a business with a small budget consider custom CRM module development today?

If you have very specific needs that aren't covered by off-the-shelf solutions, and you're willing to invest time in a clear technical specification, then yes. With AI and low-code platforms, custom development has become much more accessible. However, I still recommend first considering ready-made specialized solutions, such as formspace.design for landscape design, or universal SaaS platforms, to ensure that custom development is truly the only path.

What skills are needed to use AI for CRM module development?

For effective use of AI in development, deep programming skills are less important than an understanding of business logic, the ability to clearly formulate tasks, and knowledge of the basics of working with the chosen platform or programming language. It's important to know how to 'talk' to AI, ask the right questions, and analyze its responses to guide it in the right direction. This is more akin to the work of an architect than a builder.

The Future of Automation in My Hands

The transition from manual record-keeping to automated systems is not just a trend, but a necessity. My journey with formspace.design is an attempt to create a tool I myself would have wanted in my company 10-20 years ago. It demonstrates that modern technologies open up new possibilities even for those who are not programmers by profession. If you are involved in landscape design, try how formspace.design can simplify your work and help you manage projects more efficiently, saving you money and time.
