Why Visualization, CRM, and Accounting are a Single Entity in formspace.design
Vladimir Vyborny, founder of formspace.design, explains why integrating visualization, CRM, and accounting into one product was a logical step for the landscape business.
In my many years of experience working on landscape projects, starting with the company "Dom i Sad" (House and Garden), I constantly encountered the same problem: fragmented tools. Separate programs for design and visualization, separate CRM for client management, and yet another set of spreadsheets for financial accounting. This fragmentation didn't just slow down work; it created chaos and led to errors. That's why I concluded that visualization, CRM, and accounting are not separate functions, but integral parts of a unified process that must be combined into a single product, such as formspace.design.
My Journey to an Integrated Solution
My business journey began long before landscape design, back in the 90s, when I managed NPF "Alkar" and then "Alkar-Invest." Even then, I faced the need for automation and setting tasks for programmers regarding management accounting. In 1997, I entered the landscape industry, and from 2000, my company "Dom i Sad" (House and Garden) was involved in designing, building cottages, and landscaping plots. Over more than 20 years, I've seen projects become more complex and client demands grow.
The pain of a director without proper accounting and CRM was constant. We used AutoCAD, Revit, 3ds Max for design, but each time we had to manually transfer data to Excel for estimates, to notebooks for tasks, and to separate programs for client communication. This consumed an enormous amount of time – sometimes 1-2 hours daily just to synchronize information. I realized that a tool was needed to connect all these stages, and I began to independently develop formspace.design, leveraging my experience and modern AI technologies, even at 61 years old. This is proof that subject matter expertise and discipline can pave the way for creating such solutions, even without a team of programmers.
Why Visualization is More Than Just a Picture
Visualization is the first thing a client sees. It's not just a pretty picture; it's the language we use to talk about the future site. A clear and realistic 3D render can help a client make a project decision in 1-2 meetings, instead of going through 5-6 iterations of revisions trying to understand abstract drawings. Poor quality or inaccurate visualization can lead to 20% of completed work needing to be redone because "it didn't look like that in the picture." In formspace.design, I aimed to make visualization tools as accessible and understandable as possible, so they become an effective sales and approval tool, not a source of misunderstandings.
CRM as the Heart of the Project
CRM is more than just a contact database. It's a system for managing client relationships and, equally important, managing the project itself. In landscape design, each project is a unique set of stages, tasks, interactions, and agreements. Tracking 50-70 client interactions over 3-6 months, the duration of an average project, becomes an overwhelming task without a centralized system. CRM in formspace.design allows me not only to guide the client from the first inquiry to project completion but also to manage all internal tasks, control deadlines, and assign responsibilities. This is critically important because, as I noted in the article The Difference Between Retail CRM and Project Business CRM Like Ours, project business has its own peculiarities requiring a specific approach to CRM.
Accounting: Not Just Money, But Resources Too
Accounting is the foundation of any business's profitability. In landscape design, it's not just about counting money, but also managing materials, labor time, and equipment. A typical contractor's mistake is not calculating the real cost per hour of work or underestimating material consumption. I wrote about this in detail in the article A Typical Contractor's Mistake: Not Calculating the Real Cost Per Hour of Work. For example, if you incorrectly calculate the volume of soil or the amount of rolled lawn for a 1000 m² plot by just 5-10%, it can completely "eat up" all the profit from the project. In formspace.design, accounting is integrated with the design project. Any change in visualization or specification is instantly reflected in the estimate, allowing me to control the budget in real-time and make informed decisions.
Synergy: How Everything Works Together
The true power of formspace.design lies in the synergy of these three components. When you create zoning for a plot (e.g., 20 m² for a recreation area or a 3-meter wide path), this data is immediately used to calculate materials and labor. When you approve a design with a client, it automatically creates tasks in the CRM and updates financial figures in accounting. If a client asks to change the paving material for a 150 m² path, the system instantly recalculates the estimate, showing the cost difference. This is a unified, seamless workflow that eliminates data duplication and minimizes human error.
Typical Errors of Fragmented Systems
Without an integrated system, I constantly encountered the same problems:
- Data Loss: Important client information, agreements, or project changes were lost between different files and programs.
- Inconsistency: Visualization did not match the estimate, and tasks in the CRM did not account for the latest design changes. This led to conflicts with clients and within the team.
- Budget Overruns: The lack of real-time accounting meant that actual costs significantly exceeded planned ones, often without the ability to trace the cause.
- Low Efficiency: A huge amount of time was spent on manually reconciling data, instead of focusing on creativity or business development.
How to Plan in formspace.design
My experience in landscape design, where I spent over 20 years managing the company "Dom i Sad" (House and Garden), showed me that a successful project begins with a clear plan. In formspace.design, I strived to embody this principle, making it intuitive and functional. Imagine a new client approaches you with a 10-sotka plot (approx. 1000 m²). I start by uploading a photo of the plot or its plan into module 1.1 Plan/Zones/Objects. Using zoning tools, I quickly define functional areas: a recreation zone (20 m²), a garden (5 sotkas / approx. 500 m²), an access path (3 m wide). Then, using module 2.1 AI-Concept, I generate several ideas for element placement, considering the terrain and client wishes. After selecting the main concept, I can refine it using module 3.1 Design by Photo, so the client sees a realistic picture of the future plot, for example, what a new gazebo or rock garden will look like. While I work on the visualization, a client card is already created in the system, a project is formed, and I can start adding tasks to the CRM. For instance, "approve concept with client by Friday," "calculate preliminary estimate for recreation area materials." The system automatically links these tasks to specific plan elements and allows me to estimate labor costs and materials, which is immediately reflected in the accounting module. This gives me the ability to see how each design change affects the budget and timelines, ensuring complete project control.
FAQ
Why combine such different functions?
From my experience, design never exists in a vacuum. It directly impacts client communication (which is the essence of CRM) and the project cost (which is accounted for in financial records). Separating these processes leads to inefficiency, delays, and financial losses. An integrated system provides a holistic view of the project and prevents data fragmentation.
Does this not complicate the interface?
This was one of my main concerns when I started creating formspace.design. On the contrary, my goal was to make it as intuitive as possible. Instead of switching between three different programs, you work in one window where data is automatically synchronized. We strive for simplicity and logical steps so you can focus on creativity, not technical routine.
Can I use only a part of the functions, for example, just visualization?
Of course. Although formspace.design is designed as a comprehensive solution, you can start with the module most relevant to you. For example, use only the tools for plot visualization or for creating AI concepts. But over time, you will likely appreciate the benefits of full integration and how it simplifies all aspects of your work.
How difficult is it to transfer data from my current systems?
We understand that transitioning to a new system can be a challenge. formspace.design offers tools for importing data, such as client lists or standard materials. For more complex cases, I always recommend starting with new projects in our system, gradually migrating others, to minimize risks and get accustomed to the platform.
Is formspace.design suitable for small projects or individual designers?
Absolutely! I started as an individual designer myself and know how important it is to have effective tools without huge costs. formspace.design is designed to be useful for both large companies and freelancers working on 1-2 projects simultaneously. Automation saves time and allows you to focus on creativity, not administrative tasks.
How does formspace.design help avoid budget errors?
Thanks to the integration of accounting with visualization and CRM, every change in the project is instantly reflected in the estimate. You see the real cost of materials and labor, can track actual expenses, and compare them with planned ones. This allows for prompt budget adjustments and avoids unpleasant surprises for both the client and yourself. For example, if you replace standard paving stones with a more expensive option, the system will immediately show the difference in the total estimate for a 150 m² path.
How does formspace.design differ from other CRM or CAD systems?
The key difference lies in its comprehensiveness. Most solutions focus on one area: either design (CAD), client management (CRM), or financial accounting. formspace.design was created by me, someone with experience in the landscape business, to combine these three aspects into a single, logical, and intuitive workflow, specifically adapted to the needs of landscape projects. It's not just a set of tools, but a philosophy of work proven by years of practice.
Combining visualization, CRM, and accounting in one product is not a whim, but a necessity dictated by the realities of modern landscape business. formspace.design is designed to help you work more efficiently, avoid errors, and most importantly, focus on creating beauty. I invite you to explore the capabilities of formspace.design and see how a unified platform can transform your workflow.
