What sets formspace.design apart from 'just another CRM' — my perspective
How I, Vladimir Vyborny, created formspace.design not as a typical CRM, but as a tool born from 20 years of experience in landscape design.
When I talk about formspace.design, I always emphasize that it's not just another CRM system. It's a tool that grew out of my personal pain, from 20 years of experience managing “Dom i Sad” (House and Garden), a company involved in designing and building cottages, landscaping plots, and their maintenance. I created it to solve specific problems faced by landscape designers and builders that ordinary CRMs simply don't address.
Why 'typical CRM' doesn't work for the landscape business
My experience showed that standard CRM systems, designed for sales or service companies, are catastrophically unsuitable for project-based businesses with a strong visual component. They are good for tracking calls and deals, but completely useless when you need to manage a project where every decision – from plant selection to paving type – has visual and functional significance. In landscape design, there are no “just deals”; there is a long process from idea to implementation and subsequent care, which can take from 3 months for design to 6 or more months for construction. A typical CRM doesn't understand what a “15 m² recreation area” or “8-zone automatic irrigation” means. I shared my thoughts on this in the article Why I decided that CRM and visualization should be in one place.
My Journey: From Manual Records to Automation
At “Dom i Sad,” I faced the problem of scattered project information: sketches in one folder, estimates in Excel, correspondence in email, and tasks for crews in the foreman's notebook. This led to constant errors, rework, and wasted time. For example, we might order the wrong volume of gravel or forget to agree on the retaining wall height with the client. I realized that a tool was needed to unite all of this. My career, which began with physical education and painting, and then transitioned into business consulting, gave me a unique vision: I could see the system as a whole and formulate tasks for programmers, but there was no ready-made solution on the market. You can read more about how I came to this in the article From a foreman's notebook to a CRM module: the journey of one task.
Visualization as the Project Core, Not Just a 'Pretty Picture'
In landscape design, visualization is not just a bonus; it's the language of communication with the client and the basis for planning. Starting with a concept for a 10-20 acre plot, every element – from 1.2-meter wide paths to the gazebo's location – must be visible and understandable. Ordinary CRMs cannot work with plans, sketches, or 3D models. They cannot show what the garden will look like in 5 years, or how the shadow from a tree will change. formspace.design was initially created with this need in mind, integrating visual tools directly into the project management process. This helps avoid the typical mistake where a client approves a 2D plan, but during 3D model implementation, it turns out that “it doesn't look the same in real life.”
AI: Not Hype, but a Working Tool
I started coding with AI at 61, and it wasn't a tribute to fashion. Artificial intelligence in formspace.design is an assistant that speeds up routine tasks and generates ideas based on my experience. For example, the AI module can suggest zoning options for a plot or select paving textures, considering input data and style. This doesn't replace the designer but gives them a powerful tool to save time and boost creativity. I test various approaches to this in my work, for example, in the article AI and materials: testing paving and texture selection.
Project and Financial Management in the Context of Seasonality
The landscape business is highly dependent on the season. This means that revenues and expenses are uneven, and projects can “pause” for the winter or due to weather. Standard CRMs do not account for this specificity, offering linear planning. formspace.design allows flexible management of schedules, budgets, and personnel, adapting to realities. This is critical for maintaining cash flow and preventing cash gaps, especially when materials need to be planned for several months in advance.
Simplicity and Intuition: My Guiding Principle
I am firmly convinced that a complex tool, even with a huge number of functions, will not be used. Therefore, one of the key principles in developing formspace.design was interface simplicity. I aimed to create a system that would be intuitively understandable even to those who are not “tech-savvy.” After all, my audience consists of people who love land, plants, and beauty, not sitting for hours configuring software. I discussed my approach to this principle in more detail in the article Why interface simplicity is more important than the number of functions: my principle.
How to Plan in formspace.design
Imagine a client comes to you with a 12-acre plot and wants to create the garden of their dreams. With formspace.design, you start working with module 1.x (Plan/Zones/Objects). You can upload a photo of the plot or draw its contour directly in the system. Then, using module 2.1 (AI-concept), you can generate several zoning options and stylistic solutions, based on the client's preferences and the territory's features (e.g., slope or existing buildings). AI will suggest ideas for placing functional zones: recreation areas, playgrounds, vegetable gardens, considering cardinal directions and terrain features. This takes minutes, not hours.
Next, using module 3.1 (Design by Photo), you can quickly visualize the proposed concepts by overlaying them on real photos of the plot. This allows the client to see the future garden even before design begins, make adjustments, and approve the direction. After that, you move on to detailed planning, placing specific objects, plants, and landscaping elements, linking them to estimates and tasks for the crew. All information – from the initial idea to final implementation and maintenance schedule (e.g., 2-3 seasonal services per year) – is stored in one place, accessible to you and your team at any time. This helps avoid the typical problem where, during implementation, it's discovered that 20 m² of tiles are missing or drainage was forgotten.
FAQ
Do I really need a specialized CRM for landscape design?
Yes, if you want to effectively manage projects, budgets, and clients, rather than spending time reconciling disparate data. Ordinary CRMs do not account for the visual component, project approach, and seasonality of the landscape business, leading to wasted time and money. A specialized tool, such as formspace.design, is created precisely for these tasks, allowing you to focus on creativity and quality.
How does formspace.design differ from professional CAD programs like AutoCAD or Revit?
formspace.design does not replace full-fledged CAD programs for detailed engineering design. It complements them by integrating visualization and planning directly into the CRM process. This allows for quickly creating concepts, zoning, and visual proposals for clients, and then linking them to project management, estimates, and tasks, which CAD systems cannot do. It is a bridge between creativity and management.
Can formspace.design replace an accountant or professional accounting software?
formspace.design provides tools for management accounting: tracking income, project expenses, budget control, and cash flow planning. This helps the manager see the financial picture of the business in real time. However, it is not a full-fledged accounting program for submitting reports and will not replace a qualified accountant or specialized financial accounting software that deals with tax legislation.
How difficult is it to learn formspace.design if I'm not 'tech-savvy'?
I developed formspace.design with an emphasis on intuitiveness and ease of use. My goal is for any landscape designer or company manager to be able to start working in the system without lengthy training. The interface is built to replicate the natural flow of project work, minimizing the need for deep technical knowledge. There are training materials and tips to help you get started quickly.
Is formspace.design suitable for small projects or only for large plots?
formspace.design is equally suitable for small projects (e.g., patio landscaping or entrance area greening) and large plots of 20+ acres. The system's flexibility allows it to scale to any volume of work. The main advantage is the systematization of the process and effective client interaction, which is important for any project, regardless of its size.
How does formspace.design help with client work?
The system allows for centralized storage of all client information, their preferences, interaction history, and approved projects. Visualization modules and AI concepts significantly simplify the approval process, helping clients visualize the future result. This increases their engagement and satisfaction, minimizes misunderstandings, and allows for quick responses to their requests, for example, regarding garden care after project completion.
What about the mobile version of formspace.design?
Access to formspace.design is possible through any modern web browser, ensuring its functionality on various devices, including tablets and smartphones. This allows foremen and designers to work directly on-site, make adjustments, check task statuses, and communicate with the team without being tied to an office computer. Mobile access is an important part of the flexibility I built into the product.
formspace.design: A Tool Created by a Practitioner for Practitioners
